Privacy Policy how we handle your data.

Who we are

The controller of your personal data is Plusimpex B.V., a food trading company registered in the Netherlands under KvK number [KvK number], at 30 Verlengde Gildenweg, 8304 BK Emmeloord.

We trade business-to-business. Most of the personal data we process belongs to contact persons at our customers, suppliers and logistics partners.

Data we collect

• Contact details: name, company, job title, email address, phone number and country, when you send an enquiry, request a quote or email us.
• Business records: order, delivery, invoice and correspondence data linked to your company's account.
• Newsletter data: your email address and subscription status, if you subscribe.
• Technical data: IP address, browser type, device and pages visited, collected through server logs and cookies.

We do not intentionally collect special categories of personal data, and our website is not aimed at children.

Purposes & legal bases

• Answering enquiries and preparing quotations: taking steps at your request before entering into a contract (art. 6(1)(b) GDPR).
• Performing orders, deliveries and invoicing: performance of a contract (art. 6(1)(b)).
• Bookkeeping, tax and food safety traceability: legal obligations (art. 6(1)(c)).
• Maintaining business relationships and securing our website: our legitimate interests (art. 6(1)(f)).
• Newsletter and non-essential cookies: your consent (art. 6(1)(a)), which you can withdraw at any time.

Newsletter

If you subscribe through the form in our website footer, we use your email address only to send market updates and product news from Plusimpex.

Every newsletter contains an unsubscribe link. You can also unsubscribe by emailing info@plusimpex.com. We delete your address from the mailing list after you unsubscribe.

Cookies & analytics

We use functional cookies that are needed for the website to work. We place analytics or marketing cookies only after you have given consent through our cookie banner.

Sharing your data

We never sell your personal data. We share it only when necessary, with:

• logistics providers, freight forwarders and customs agents, to deliver orders;
• IT, hosting and email service providers that process data on our behalf under a data processing agreement;
• our accountant, banks and insurers;
• authorities, where the law requires it (for example the NVWA or the Tax Administration).

International transfers

Because we trade internationally, some data may be shared with suppliers or logistics partners outside the European Economic Area, for example in the countries our products come from. We do this only when it is necessary to perform an order, or when appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses.

Retention

• Enquiries that do not lead to an order: up to [2] years after the last contact.
• Invoices and administrative records: 7 years, as required by Dutch tax law.
• Newsletter data: until you unsubscribe.
• Analytics data: at most [14] months.

Security

We take appropriate technical and organisational measures to protect personal data against loss and unauthorised access. These include an encrypted (HTTPS) connection, access controls and regular updates of our systems.

Your rights

Under the GDPR you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data deleted;
• restrict or object to processing, including direct marketing;
• receive your data in a portable format;
• withdraw your consent at any time.

Send your request to info@plusimpex.com. We respond within one month. If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
